Social media management for agencies
Social media management for agencies means running the accounts of many clients from one login, with each client kept in its own separate workspace.

Each client gets a workspace of their own, so posts, accounts and drafts never mix between clients. You switch between them from one place.
A client who already has a SocialPatra account approves your access to their workspace once, from an email invitation. A client without an account does not need one: you create their workspace and send a connect link, and they sign in on each platform's own screen. Nobody shares a password with you or with us.
When a client links you to their workspace, you choose their access level, and either you or the client pays.
How to manage client accounts in SocialPatra
- Add a client. Open the Agency page and add the client. Choose "I manage their workspace" if they will not need a login, or "They own their workspace" to link to one they already have.
- They connect by link or add you on the platform. A managed client opens the emailed link and connects their own social accounts. No SocialPatra login is needed, and the link works for 7 days. On some platforms they can instead add your agency directly on the platform itself.
- Their workspace appears. Once they connect, the client shows up in your console. Give each one a label and a colour so they are easy to tell apart.
- Schedule and collect sign-off. Plan posts as usual. If the client wants to approve them first, invite them as an approver and posts wait for their go-ahead.
- Optionally, they take ownership later. A managed client can take over the workspace at any time. You keep working in it as a linked agency, and they choose whether you or they pay.
Clients connect their own accounts
Collecting logins by email is slow and risky. A client with a SocialPatra account approves access to their workspace once. A client without one gets a connect link instead and signs in on each platform's own screen, so you never see their password.
The client workspace is created when the client first connects, so an invite nobody opens does not leave an empty workspace in your list.
The Agency page also lists the invites you have sent, so you can see who is still pending and who has connected, and chase only the ones that have not.
The same link can be used to add more accounts while it is still valid. You can also revoke an invite you no longer want.
Client approval before anything goes live
Give a client an approver login and they can see content and analytics and approve posts. They cannot create, edit or delete posts, or manage accounts, the team or settings.
In a client workspace with approval switched on, every post waits for the client, including posts from you.
Inviting a client as an approver turns approval on for that client automatically.
Pending posts are listed on the Approvals page of the workspace.
Who decides if approval is needed
You choose approval for a client until that client has an approver login. After that, the approval mode belongs to the client. This keeps the decision with the person whose brand is being posted.
If a client has chosen to trust you with publishing, inviting another approver does not switch approval back on by force.
Approvers see a simple controls card in their own workspace, so they can change the setting themselves without asking you.
What each role can do
| Role | What they can do |
|---|---|
| Owner | Everything, including billing and removing the workspace. |
| Admin | Everything except billing, deleting the workspace and transferring ownership. Manages accounts, team and settings, and can approve posts. |
| Member | Creates, schedules, edits and deletes posts, and views content and analytics. |
| Viewer | Views content and analytics only. |
| Approver | Views content and analytics and approves posts. Nothing else. |
Client reports and your own branding
Download a PDF report for any client from their card in the Agency page. It covers the client’s 100 most recent published posts.
Reports and branding are part of the Business plan.
With branding on, your logo, accent colour and name appear on the page your clients use to connect, in the emails they receive, on their PDF reports and inside their workspace.
Adapt each post for each channel
A client’s LinkedIn audience and Instagram audience expect different things, and each network has its own limits. Write a separate version for each channel instead of publishing identical content everywhere.
- See how LinkedIn posts work on the LinkedIn scheduling page.
- See how Instagram posts, reels and stories work on the Instagram scheduling page.
Before you invite your first client
- Check that your own account is on the Agency plan. Managing clients needs it.
- Have the client name and the email of the person who owns the social accounts.
- Decide whether the client will approve posts. That is a second, separate invite.
- Remember you can revoke a pending connect invite if you sent it to the wrong address.

Frequently asked questions
Can clients connect their own social accounts?
Yes, two ways. A client with a SocialPatra account approves your access to their workspace from an email invitation. A client without one gets a connect link from you, signs in on each platform's own screen without a SocialPatra login, and the link stays valid for 7 days. We never ask for passwords.
Can a client approve posts before they publish?
Yes. Invite the client as an approver. Posts in their workspace wait for their approval, and an approver can approve but not create or edit posts.
Do I need a separate plan for each client?
No. The Agency plan covers 25 client profiles and 3 seats for a flat fee, and the connected accounts of the clients you manage count toward it. If a client owns their workspace, they can pay for it on their own plan instead.
Which plan do I need to manage clients?
The Agency plan. It is billed monthly by card through Razorpay. If you are on another plan, you switch to Agency at your next renewal. The pricing page shows what it includes.
What happens if I stop paying for a client?
The client keeps their workspace and its data. They can take over the payment on their own plan. Until they do, the profiles beyond their free allowance pause, and they resume as soon as the client upgrades.
Can I pay for a client on the Creator plan?
No. A client on the Creator plan always pays for their own plan. The Agency plan funds the client workspaces you manage and the ones you pay for as a linked agency.
Can a client take over their workspace later?
Yes. A client you manage can take ownership at any time. You keep working in the workspace as a linked agency, and they choose whether you or they pay.
Can I revoke a client invite?
Yes. A pending invite can be revoked from the Agency page, and the link stops working.
